Library Commons Conference Room

The Library Commons Conference Room is located on the main floor of the library near the entrance. It may be reserved for professional and educational activities by members of the following institutions: 

  • Weill Cornell Medical College
  • NYPH/Weill Cornell
  • Rockefeller University
  • Memorial Sloan Kettering
  • Hospital for Special Surgery
  • Rogosin Institute

Reservations should be made by completing the Library Conference Room Reservation Form, and a valid institutional Id should be presented upon entry to the library. Priority is given to groups from the Medical College.

Equipment:

The Library Commons Conference Room is set up boardroom style and includes:

  • Seating (total of 6 chairs)
  • Center conference table (seating for 6)
  • Access to WiFi

Technology:

This room has Wi-Fi only. No built-in tech or AV equipment is available.

Policy:

  • The Library Commons Conference Room may be reserved Monday - Friday from 8:00 am to 5:45 pm.
  • The Library Commons Conference Room must be reserved using the Library Conference Room Reservation Form.  It cannot be booked directly through Outlook.
  • There is a 15-minute grace period for reservations. If your group is not present within 15 minutes of your reservation's start time, your reservation may be forfeited, and another group may use the room. We request that you reserve the space only for the time you need it.
  • Should you need to update or cancel a reservation, please be courteous and promptly advise us that your needs have changed via email (circulationdesk@med.cornell.edu).
  • Reservations may be made up to 4 months in advance. 
  • The Library Commons Conference Room is not intended for use as an individual study space or for ongoing classes. Reservations by a given group may not exceed 10 meetings within 4 months.
  • Multiple recurring meetings (i.e. the same day and time) may be submitted in the same request.
  • Seating is available for 6, with a maximum capacity of 10 people. Preference will be given to groups of 4 or more.
  • Use of the Library Commons Conference Room during hours the library is closed will not be considered. 
  • This is a semi-private space. Conversations in this room may be overheard by individuals outside, and occupants will hear discussions from surrounding areas. Confidentiality is not guaranteed. Exercise discretion when discussing sensitive topics.

Requests are normally filled on a first-come, first-served basis. However, reservations may be canceled if the room is needed for higher priority use. Should this happen, you will be notified promptly, and every attempt will be made to accommodate your group on another date or in another library space.

User Responsibilities:

  • Groups are responsible for leaving the room in an orderly condition. 
  • Groups should report problems to the SMARTDesk before they leave the library. 
  • Damage to the room or to equipment, including damage from spilled drinks or food, will result in fees for cleaning, replacement, or repair. 

The library reserves the right to cancel reservations for groups that do not observe the policies or fulfill the responsibilities listed above, or that violate applicable university policies.
